Activity reporting and utilization of information

From the beginning of 2026, we have moved from annual activity statistics reporting to a continuous data collection model. On this page you will find instructions and further information about the reform.
On 27 May 2026, the name of the report was changed from event report to activity report, and at the same time, at the branches' request, the form was expanded to allow reporting on a branch's internal activities, such as exercises, meetings, and activity planning organised by volunteers among themselves. Since the beginning of 2026, the Red Cross has moved to a continuous data collection model, in which information on the activities and events organised, as well as on the people who took part in them, is collected and submitted after every session.
The aim of the reform is to lighten the reporting of activities and to provide branches and volunteers with up-to-date information about their activities and about the need for help.
What is changing?
Instead of a statistical survey completed once a year, we are moving to a model in which a short report is filled in after each event or occasion. The report has been made as short as possible and includes questions on, for example, the number of participants and any needs for help. The person leading the activity or event is responsible for filling in the report.
You can find the report at punainenristi.fi/toimintaraportti. The report saves a large part of the answers the first time, after which they appear pre-filled on the form, considerably speeding up the following times you fill it in. However, you can also edit these sections in the future.
The information obtained through the reports is shared back with the branches, helping them to develop their activities.
When is the activity report filled in?
The recommendation is that the report is filled in after every activity session or event. This way, interim record-keeping can be avoided, and the figures do not have to be added up by hand afterwards.
The activity report is not filled in in situations where a project or form of activity already has its own established reporting method, such as the YksiNäistä project or the health points. See the Frequently Asked Questions section at the end of the page for more details.
What are the benefits of the reform?
- With the reform, we are moving away from the once-a-year reporting method that has been experienced as burdensome, and the time spent on reporting is reduced. The aim has been to make the activity report as easy as possible to fill in, and in addition, as much of the information as possible is collected from existing systems, such as Oma, Sivisverkko, or OHTO.
- With the help of the collected data, a branch can develop its activities. The information from the completed reports is compiled and shared with the branches in the form of an easy-to-use Power BI report, which is visible on the Oma front page to logged-in users. With this information, a branch can see up to date, for example, which activities are already being organised a great deal and what kind of activities attract participants.
- We respond to the need for help. The form has an optional text field on the needs for help in the locality, where you can write observations about new or increased needs for help. With this information, the help provided can be developed to be even more effective, and we are able to respond to people's needs.

Frequently asked questions about continuous data collection for volunteers
- On the 27th of May, the name of the report was changed from event report to activity report, and possibility of reporting internal work was added to the form.
- The most frequently repeated wish from branches throughout the spring of 2026 has been the possibility to also report internal activities on the form, such as activity group practice sessions, orientation of volunteers, meetings, administration, and other work that is done in considerable amounts in every branch to enable and run the activities, but which has so far remained largely invisible.
- Reporting on internal work is entirely voluntary, meaning that a branch can decide whether it wants to report its internal work or not.
- Internal work can be reported collectively, for example once a month, whereas activities aimed at aid recipients/clients/the public should be reported separately each time.
- For example, a treasurer spends an average of 10 hours a week on bookkeeping. Once a month, they fill in a report under the internal activity type Administration, finances, and decision-making (incl. meetings) and record 40 hours of volunteer hours.
In order to help in a timely and impactful way, we need up-to-date information on activities and the needs of aid recipients. Continuous data collection makes this possible better than annual statistics.
The data is processed and shared with branches and volunteers. With the data, activities are developed and help can be better targeted to where it is needed the most.
Yes, but we have done everything we can to make filling in the activity report as easy and quick as it can possibly be. A particularly big help here is that once you have filled in the form one time, the form will remember the answers you gave earlier and will already have pre-filled most of the questions for the next time you report. This way, you may not need to fill in anything other than the date of the event and the number of aid recipients and volunteers, which often takes no more than one minute.
No, activity statistics will no longer be collected at the end of 2026.
All data collection is carried out in accordance with Red Cross values and data protection principles. Personal data is processed confidentially and solely for the purpose for which it was collected.
- Activities for aid recipients, clients, or the public (e.g. food aid, friend activities, homework help, first aid duty): If your branch has already had many events since the beginning of the year, it is enough to make one summary report per form of activity. You can put the last day of the period being reported as the date. Going forward, it is worth reporting after each event, so that you do not have to keep records or add up figures by hand.
- Internal work, preparation, support for volunteers, or cooperation (e.g. board meeting, orientation of volunteers, practice session, planning meeting): The branch can decide for itself how frequently it wants to report on its internal activities, but as a starting point, summary reporting for example once a month is a good pace. Reporting on internal activities makes visible the amount and nature of all the branch's internal activities that have previously remained largely invisible.
The Power BI report of the activity report is visible on the Oma front page after logging into Oma.
- As a rule, trainings are recorded in the statistics through the activity report – including trainings entered into Sivisverkko.
- Trainings entered into Hupsis do not need to be reported through the activity report.
- Vapepa trainings are still recorded in the statistics through their own reporting channel.

"Children and youth" was an illogical form of activity because it described a target group rather than a form of activity. Under almost all forms of activity, there can be activities aimed at children and youth.
- For example, school visits are reported under organisational activities.
Many branches organise events and activities together with other organisations. A report is filled in for the activity regardless of whether the physical venue belonged to the branch or the partner.
For example, a branch organises food distribution together with a parish, and the distributions are always held on the parish premises. There were 10 volunteers at the event, five of whom were from the parish and five from the Red Cross branch. There were 50 clients. The branch fills in the activity report, recording its own volunteers (five) and half of the clients (25).
The Red Cross organisational development unit determined on 4 March 2026 that the activities included in volunteer hours are defined consistently with the International Red Cross Movement (IFRC) and the definition is broad: in addition to the hours spent on the actual event/activity, all work done before and after is also included (e.g. planning, preparations, arrangements, carrying out the event, dismantling/cleaning up). Volunteers' travel time between home and the activity venue is not included. However, you do not need to spend an unnecessary amount of time calculating volunteer hours – a quick estimate is enough!
- If your branch uses Hupsis to manage first aid duties, those events do not need to be reported separately.
- Trainings entered into Hupsis as events also do not need to be added via the activity report.
- The participant and client numbers of events recorded in Hupsis will automatically transfer in the future to appear in the continuous data collection
- Power BI report – implementation will take place during autumn 2026.
If your branch does not use Hupsis, fill in the activity report.
If your branch reports food aid to the ruoka-apu.fi website, those events do not need to be reported separately. If your branch does not report food aid to the ruoka-apu.fi website, please report food aid using the activity report.
- Only those trainings for which a volunteer receives a certificate/record of completion and/or for which financial support from Sivis is applied for are entered into Sivisverkko. Trainings do not need to be entered into Sivisverkko for statistical purposes only; in that case they are reported solely through the activity report.
- Once you have selected "Course or training" as the type of activity and chosen the form of activity, a list of the official Red Cross courses for that form of activity will open.
- If you are organising some other course, you can report it by selecting the option 'Other course or training, which one?' from the list.
If your branch reports an information session held by a Turvakoutsi about accident prevention, the event is reported using the form Summary of Turvakoutsi event (Turvakoutsi-tilaisuuden yhteenveto).
All other work related to accident prevention carried out by the branch (such as distributing materials) is reported using the activity report form.
If your branch participates in a specific project or form of activity (e.g. YksiNäistä, ESF+, Support for the Undocumented, Health Points) that already uses an existing reporting method, that method will still be used normally at least throughout 2026 – meaning you do not need to fill in an activity report for those events/activities. We aim to harmonise data collection in the future so that there are as few project-specific reporting requirements as possible.
The form detects the primary language of the user's browser and automatically displays the correct language version of the form based on that.
