User Levels

On this page, you can read more about Oma user levels and how, as an Oma administrator or user, you ensure the system is used securely.
Every user who has created an Oma profile and logged in is automatically a basic system user without a special user level.
There are two user levels for branch volunteer coordinators (the user levels of the branch's Oma administrator and Oma user), which grant access to the branch administration view. In the administration view, you can
- welcome new volunteers and mark them as contacted
- manage activity groups
- communicate with the branch
- filter branch volunteers and communicate with chosen volunteer groups
- view all branch volunteers and their information.
The branch Oma administrator's user level is intended for board members and the Oma administrator specifically appointed by the branch.
The branch Oma user level is intended for designated volunteers who need access to the branch administration view in Oma.
The tasks of branch volunteer coordinators in Oma include, among others, welcoming volunteers who have created a user profile and managing activity groups. Within the branch, it is important to agree on which tasks each person with access to the branch administration view will handle.
The branch’s Oma administrator rights are granted by the district upon request. Direct requests to the district’s Oma administrator; contact information can be found here.
Branch Oma administrators can grant rights within their branch to Oma users.
Through the administration view, you can edit a volunteer’s contact information and change their user level:
- The administration view has a Rights tab where the user levels of the branch’s volunteers can be managed collectively.
- From the Rights tab, a view opens where you can review existing user rights and search for your branch’s volunteers.
- Once you have found the volunteer you want, you can use the drop-down menu to see the user levels you can assign.
- A person who has been granted a user right must log out and back in for the right to be activated on their profile.
You can also edit an individual volunteer’s information in the administration view under Volunteers:
- Begin by opening the relevant volunteer's card.
- Then, click on the Edit button on the card.
- In the Oma Rights section, you can modify user rights.
- Remember to save at the end.
By processing volunteers' information securely, reliably and appropriately, we help to ensure that the Finnish Red Cross's activities are ethical and in accordance with the principles of the Red Cross. Processing information in Oma is subject to the Personal Data Act, meaning there must always be a valid reason to view volunteers' information and the data must be handled with respect for privacy. Only view information for which there is a justified reason. Your actions in the system leave an electronic trace.
Oma helps us to process volunteers' personal data securely, as using Oma ensures that the information is encrypted in accordance with the Data Protection Act. However, a significant part of data protection depends on how we as people handle volunteers' information in Oma.
If you are granted the user level of Oma administrator or Oma user, or activity group leader rights, you have a duty to respect the privacy of other volunteers and ensure that their information remains secure.
Oma administrator and user checklist for ensuring data security:
- Remember that all information you see about volunteers through Oma is confidential.
- Only ever view information that you genuinely need and that is relevant to your role as a designated volunteer.
- Ensure the security of your own user account.

- Do not use automatic login or save your password in your browser, and remember to log out of Oma.
